Privacy Policy

FastKPIs (fastkpis.com) is operated by Tyrian Ventures Pte. Ltd., 10 Anson Road, #13-09 International Plaza, Singapore 079903. This policy explains what personal data we collect, why, who we share it with, and the choices you have. We follow Singapore's Personal Data Protection Act 2012 (PDPA).

Who this covers

Visitors who try FastKPIs without an account.
Customers: people who create an account to build and send appraisals for their organisation.
Employees: staff who receive an appraisal from their employer by private link. For employee data, your employer decides what is collected and why; we process it on their behalf as a data intermediary.

What we collect

Account details: your email address and name. We don't use passwords; you sign in with a code we email you.
Company details you give us: company and department names, industry, company size, review period, company values and logo.
Your appraisal forms: the forms you create, edit or import, and your conversations with the appraisal assistant.
People and reviews (entered by customers or employees): employees' names, email addresses and job titles; their answers, actual results, ratings and comments; reviewers' ratings, corrections, comments and private notes; scores and results.
How you found us: the page you arrived on, the referring site, campaign tags and your country (from your connection), so we know which channels work.
Payments: handled by Stripe. We receive the amount, date, receipt link and a customer reference; we never see or store card numbers.
Email records: which emails we sent (invitations, reminders, results) and whether they were delivered, bounced or marked as spam, never their content.
Technical data: cookies needed to keep you signed in and to open a review link safely, security signals used to block automated abuse, and server logs.

How we use it

To provide FastKPIs: build appraisals, send private links, collect answers, calculate scores and keep a record of each cycle.
To send service emails: sign-in codes, invitations, reminders, submission notices and results.
To take payment and keep the records the law requires.
To keep the service secure, prevent abuse and fix problems.
To understand and improve how people use FastKPIs, and to follow up on your account.
To send product news and tips, only if you tick the box to receive them. You can unsubscribe at any time.

The appraisal assistant (AI)

Employee performance data is never sent to AI.

FastKPIs uses an AI model (Anthropic's Claude, through Vercel's AI Gateway) to draft appraisal forms. We send it your description of the role and the company details you choose to share, such as your company name and values. We never send employees' names, email addresses, answers, scores or comments to the AI, and the AI never rates or judges people. Under Anthropic's commercial terms, data sent through its API isn't used to train its models.

Who we share it with

We don't sell personal data. We share it only with service providers who help us run FastKPIs, under contracts that protect it:

Supabase: database and sign-in (data stored in Singapore).
Vercel: hosting (Singapore region) and access to the AI model.
Anthropic: the AI model that drafts appraisal forms (no employee data, as above).
Resend: sending emails.
Stripe: payments.

Some providers may process data outside Singapore. Where they do, we make sure it is protected to a standard comparable to the PDPA. We may also disclose data where the law requires it.

Who can see review data

An employee's review is visible to the employee (through their private link), their reviewer, and their organisation's department managers and admins. Reviewers' private notes are never shown to the employee. FastKPIs staff don't read review content; our support tools show counts, not answers.

How long we keep it

Visitors who don't create an account: deleted automatically after 30 days without activity.
Customer accounts and their organisations' data: kept while the account is open, and deleted when you ask us to (see below).
Payment records: kept as long as tax and accounting law requires.
Review links stop working after the review closes; result links work for 7 days.

How we protect it

Data is encrypted in transit, each organisation's data is kept separate by database rules, review links are long random codes stored only in hashed form, and access is limited to what each person needs.

Your choices and rights

You can ask to see the personal data we hold about you, ask us to correct it, withdraw consent (for example, to marketing emails) or ask us to delete it. See Deleting your data. If you are an employee, your employer controls your review data; please contact them first, and we will help them with your request.

Children

FastKPIs is for businesses and is not intended for anyone under 18.

Changes

If we change this policy, we will update the date above, and tell customers by email about significant changes.
